Fair Wear and Tear Guide

This guide outlines what is considered fair wear and tear versus avoidable or chargeable damage for all equipment and machinery hired from RPG Hire & Mechanical.

What Is Fair Wear and Tear?

Fair wear and tear refers to the natural, gradual deterioration that happens through normal, safe, and careful use of equipment. It does not include damage caused by misuse, negligence, accidents, or failure to follow instructions.

Fair Wear and Tear Examples (Not Charged)

These are acceptable and expected:

  • Minor surface scratches or scuffs from regular operation

  • Light dirt, dust, or debris that occurs during normal use

  • Normal and gradual tyre wear

  • Minor wear on hoses, blades, belts, or fittings

  • Faded paint or markings over time

  • Slight stretching or softening of straps, cords, or grips

Not Fair Wear and Tear (Chargeable Damage)

The following are considered damage or negligence and may incur repair or replacement fees:

  • Cracked, bent, or broken parts

  • Heavy impact damage or dents

  • Missing pieces, guards, bolts, or accessories

  • Excessive dirt, mud, cement, or oil buildup requiring extra cleaning

  • Contaminated or incorrect fuel use

  • Electrical damage due to overloading or improper connection

  • Burnt-out motors from misuse or ignoring overheating

  • Water damage to electrical or mechanical components

  • Damage from modification, tampering, or unsafe operation

Customer Responsibilities

All hirers agree to:

  • Use equipment safely and appropriately

  • Follow all provided instructions

  • Keep equipment secure at all times

  • Return equipment in reasonable, clean condition

  • Report any faults or issues immediately

Failure to meet these responsibilities may result in additional charges.

Inspection Process

All equipment is:

  1. Inspected and documented before hire

  2. Photographed (if required)

  3. Inspected again upon return

  4. Compared to the pre-hire condition record

Any new damage outside of fair wear and tear will be noted and discussed with the customer.
